Privacy Policy

This Privacy Policy explains how Glowfish Product Studio FZ LLC("KoachKit", "we", "us"), the data controller, collects, uses, shares, and protects your personal data when you use KoachKit (the "Platform"). We process personal data in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and applicable regulations.

1. Information we collect

Information you provide

Coaches: name, mobile number, profile details, program descriptions, pricing, availability, and business/payout details (handled by our payment processor for verification).
Learners: name and mobile/WhatsApp number, and booking details.
Messages: the content of messages you exchange with our assistant or support over WhatsApp.

Information collected automatically

Usage and device data, IP address, approximate location, browser type, and log data.
Cookies and similar technologies (see "Cookies and tracking" below).

Information from third parties

Payment and payout status from our payment processor (we do not receive or store full card numbers).
Message delivery status from the WhatsApp Business Platform.

2. How we use your data

To operate the Platform — create accounts, publish booking links, schedule sessions, and process bookings.
To process payments and payouts through our payment processor.
To send booking confirmations, reminders, and notifications over WhatsApp.
To provide the AI assistant that answers questions and helps with bookings.
To measure, secure, and improve the Platform, including analytics and advertising measurement.
To comply with legal obligations and enforce our terms.

3. Legal bases

Depending on the activity, we rely on: your consent (e.g., WhatsApp messaging, analytics/advertising cookies); performance of a contract (providing bookings and payments); our legitimate interests (security, service improvement); and legal obligations. You may withdraw consent at any time (see "Your rights").

4. The AI assistant

To generate replies, the messages you send the assistant are processed by a third-party AI provider. We share only what is needed to produce a useful response and the limited account context required to help you (for example, your upcoming sessions). Please avoid sending sensitive personal data to the assistant beyond what is needed to book or manage a session.

5. Cookies and tracking

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Platform is used. With your consent where required, we use:

Google Analytics — to measure usage and improve the Platform.
Google Ads — to measure advertising and, where applicable, show relevant ads (remarketing).

Google's use of data is governed by Google's Privacy Policy. You can opt out of Google Analytics with the Google Analytics opt-out add-on and manage ad personalisation at Google Ads Settings. You can also control cookies through your browser settings.

6. How we share data

We do not sell your personal data. We share it only with:

Coaches and Learners — the booking details needed to deliver a session.
WhatsApp message delivery — to send and receive messages via the WhatsApp Business Platform.
Payment processing — to process payments, payouts, and identity verification.
Analytics and advertising — to measure usage and advertising effectiveness (see "Cookies and tracking" above).
AI assistant processing — to power the AI assistant.
Hosting and storage — infrastructure providers that host the Platform and store data on our behalf.
Authorities or advisors — where required by law or to protect rights and safety.

7. International transfers

Some of our service providers are located outside the UAE. Where personal data is transferred internationally, we take steps to ensure an appropriate level of protection consistent with the PDPL, including contractual safeguards with our processors.

8. Data retention

We keep personal data for as long as needed to provide the Platform, comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete or anonymise it.

9. Your rights

Subject to the PDPL, you may request to:

access the personal data we hold about you;
correct inaccurate or incomplete data;
delete your data, or restrict or object to its processing;
withdraw consent where processing is based on consent;
request a portable copy of data you provided.

10. Security

We use technical and organisational measures to protect personal data, including encryption in transit, access controls, and reputable infrastructure providers. No method of transmission or storage is completely secure, but we work to protect your information and respond to incidents appropriately.

11. Children

The Platform is intended for users aged 18 and over. We do not knowingly collect personal data from children. Where a Coach arranges sessions involving a minor, the Coach is responsible for obtaining the necessary consent from a parent or guardian.

12. Third-party links

The Platform may link to third-party sites or services we do not control. Their privacy practices are governed by their own policies.

13. Changes to this policy

We may update this policy from time to time. We will reflect changes by updating the "Last updated" date and, for material changes, by providing notice where appropriate.
